Reading your responses
The Summary, Questions, Individual and Table views, the filters that apply to all of them, and what you can do to a single response.
Where to look
Open a form and choose Responses. The header shows the total ("135 responses") and, below it, a row of views:
| View | Best for |
|---|---|
| Summary | The big picture: totals, a chart over time and a card per question |
| Questions | One question at a time, in more detail |
| Individual | Reading a single response in full |
| Table | Scanning and sorting many responses |
| Quiz | Scores and grading. Only shown when quiz mode is on |
| Insights | Drop-off, devices, sources and cross-tabs. See Insights |
Anyone with access to the form can read these views, including viewers. Starring, tagging, grading and deleting need editor rights.
Summary
The top strip shows:
- Responses, the number of submitted responses, and how many partial ones exist.
- Completion rate, the share of people who started and finished, with the counts behind it.
- Median time to complete, with the average.
- Average score, for quizzes.
- Views to submits, three numbers for how many people opened the form, started it and submitted it. If a form has not recorded any views yet, it says so.
Responses over time charts submissions per day, week or month, whichever suits the span, with a table of the same numbers under it. Below that is one card per question. The card depends on the type: counts and percentages for choices, the average, median, smallest and largest values with a distribution for numbers, promoters, passives and detractors with the resulting score for NPS, cell counts for grids, and for text questions the latest answers, plus the most used words for long text.
Questions
Pick a question from the list on the left to see its card at full size. Text cards have a "Search these answers" box and a Show more button for reading beyond the latest answers.
Individual
Individual shows one response at a time. The arrows move to the newer or older response, respecting your filters, and the keys K and J do the same. Each answer is shown with its question, files can be opened or downloaded, and a Details panel lists when it was submitted, how long it took, the email if you collected one, device, browser, source, campaign tags, hidden field values and the form version it answered.
From here you can Star, Print, download a CSV of that one response, or Delete it. Tags and note lets your team attach up to 10 tags of 30 characters and a private note of up to 1,000 characters. Only your team sees them.
Table
The table has one row per response and one column per question. Columns chooses which to show, and clicking a heading sorts. Rows sets 25, 50 or 100 per page. Tick rows to get a bar with Star, Unstar, Export CSV and Delete for up to 500 responses at a time.
Completed and With partial switch between finished responses and everything including unfinished drafts. Delete partials older than 7 days clears abandoned drafts.
Filters
The filter bar sits under the view tabs and applies to Summary, Questions, Table, Quiz, Insights, the printable view and to exports made from the Export menu.
- Last 7 days, 30 days, 90 days and All time, or your own From and To dates.
- Completion status: Completed, Completed and partial or Partial only.
- Form version, once the form has more than one.
- Starred, and Search answers for words in the answers.
- Add filter builds a condition on one question, such as "Rating ≥ 4", and shows it as a removable chip.
The filters live in the page address, so you can bookmark or send a filtered view to a teammate who has access.
Deleting
Deleting a response removes its answers, its uploaded files and its analytics events, and lowers the response count. There is no undo. Use Search answers to find a particular response first. For how to handle a respondent's request, see Retention and deleting responses.
