Download or delete your account data
Get a JSON copy of what Formwork holds about your account, and delete the account, including what happens to shared workspaces.
Download your data
Open Account and security and scroll to Data and privacy. Download JSON produces a file named like formwork-account-20260930.json. You can do this five times an hour.
The file contains:
- your account: id, email, name, whether the email is verified, whether two-factor is on, your KingsChat username if any, and when you registered and last signed in;
- the workspaces you belong to, with your role and join date;
- the forms you created, with title, status, response count and creation date;
- the forms you were given access to individually, with your role;
- your API keys: name, the first characters, access level, last use, revocation and creation. The keys themselves are never stored, so they cannot be included;
- your activity: up to your latest 1,000 entries from the activity log;
- responses you submitted to other forms while signed in, with the answers, up to 500.
It does not contain the responses that other people gave to your forms. Those belong to your forms, so you export them from each form; see Exporting responses. Downloading your data is itself recorded in the activity log.
Delete your account
Delete account is in the same section, and it is permanent. To confirm it is you, enter your password, or a code from your authenticator app if you have two-factor. An account with neither a password nor two-factor has to set one up first, and Formwork says so.
What is deleted
- Your profile and sign-in details.
- Every workspace where you are the only member, with all its forms, responses and uploaded files.
Shared workspaces
In a workspace that has other members, you leave and it carries on without you. Forms you created there are handed to another member so nothing is lost. If you are the only owner of a workspace that still has other people in it, deletion is refused: "You are the only owner of ... which has other members. Make someone else an owner, or delete that workspace, first." Change roles on the workspace page, or delete the workspace if it should go too. See Members, invitations and the activity log.
Before you delete
- Download what you want to keep: your account data, and exports of any forms whose responses you need.
- Tell anyone who relies on your forms. Forms in a workspace where you are the only member are deleted with it, including any in the trash.
- Your API keys stop working. Webhook endpoints belong to forms, so they stay with the forms.
When it is done you are signed out and see "Your account and its data are deleted."
Other things you can do
- Change what is stored: your name and email are editable on the Account page. See Ways to sign in.
- Disconnect KingsChat, if you connected it and have a password. See Signing in with KingsChat.
- Revoke API keys you no longer use, on the API keys page.
If you filled in someone else's form
Responses you gave to a form are held by whoever runs that form, not by your Formwork account. Ask them to find and delete your response, and to tell you what they did with it. See Retention and deleting responses for what form owners can do.
